Project Coordinator

Primary Location: Tallin, Estonia

Employee Status: Contract

The Opportunity


The Project Coordinator will be responsible for day-to-day administration, document controls, sub-contractor management, reporting and overall support to the Project Management team.

The successful candidate will be required to support the vessel refit located in Tallinn Estonia.

Key Responsibilities

Responsibilities and essential job functions include, but are not limited to, the following:

  • Project support for vessel refit located in Tallinn Estonia
  • Track the planning, resourcing, execution, and subsequent reporting of the project
  • Identify and evaluate potential problems, conflicts, and technical delays, and recommend possible solutions
  • Maintain files and project related documentation. Complete periodic reviews to ensure they are current and accurate
  • Promptly alert applicable parties to any changes in project details, including scheduling, cost, resources, product availability, etc.
  • Present project progress reports to the project team
  • Ensure project materials are supplied and work is completed in compliance with the project specifications
  • Manage reporting process with on-site subcontractors
  • Support accounting with collecting receipts and tracking expenses and invoicing
  • Monitor and adjust timesheets as required prior to approval by Construction Manager
  • Support in construction team supervision and ensure work is meeting quality and safety standards
  • Work with procurement to identify and obtain resources (equipment, materials, etc.) Act as primary contact for vendors and suppliers
  • Demonstrate leadership in the site health and safety requirements and promote importance and standards of the health and safety policies
  • Support the team with enquiries and other project administration tasks as assigned

Job Specification

Qualifications

  • 5+ years’ experience as Project Admin or Coordinator
  • Excellent working knowledge of Microsoft Office (excel, word, etc.)
  • Proficiency in SharePoint is an asset
  • Construction background or experience is an asset
  • Strong knowledge of the marine industry an asset
  • Exceptional comprehension and command of the English language; (written & verbal)
  • Ability to multi-task and prioritize project support
  • Ability to complete complex administrative tasks with minimal supervision
  • Ability to foster and maintain a positive tone within the team and to work cooperatively through personal behavior, work contribution and sharing of expertise and knowledge

Working Conditions

  • Repetitive, physical activity involved (walking, kneeling, reaching, lifting)
  • Lifting light to medium weight (up to 20 too 50lbs)
  • Exposure to environmental elements including extreme weather conditions
